Advising Request Forms

Carefully follow the instructions for each service below and Arts Advising will process your request. All forms require your CWL login.


Processing Times

Please note that typical processing times for academic concessions and other online advising requests is approximately 3-5 working days.

Academic progress report feedback

If you notice any inaccuracies, errors, or other issues within your Academic Progress report on Workday, please use this form to share a detailed description of the issue, so that it can be corrected.


Request a credit load adjustment

A credit load adjustment is a request to re-balance your credit load in Winter Terms 1 and 2 so that you may enroll in full-year courses (6 to 12 credits) without exceeding the maximum credit limit. You should submit this form if you wish to take more than one 6-credit course over the Winter Session.


Request a credit limit increase

Read the credit increase requirements carefully, as credit increases will only be processed if you meet them.


Initiate academic concession

If you experience unanticipated events or circumstances that interfere with your ability to accomplish your academic coursework, review the academic concession page and fill out an academic concession form so an advisor can review your case.


Add or remove a program (major/minor)

You’re able to add or remove programs (majors/minors) yourself through Workday during registration periods, so Arts Advising only accepts online program requests outside of registration periods. Not all programs can be added or removed without department approval, so refer to the list of program options before completing the form.


Request a Letter of Permission

In certain circumstances, you can be granted permission to study outside of UBC with a Letter of Permission (LOP). The course must be graded, and you must be able to demonstrate that the course is an exceptional and unique opportunity to enhance your major or minor. Before you register at another institution, your LOP must be approved by Arts Academic Advising in order for transfer credits to count towards your degree.


Request a graduation check

If you’re entering 4th year or graduating soon and your course schedule is finalized, make sure you’re on track to graduate by completing the graduation check form.


Apply to graduate

To graduate from UBC, you must submit a formal application for graduation. In Workday, this is called the “Program Completion Application”.


Access your program completion letter

Once your graduation status is approved, you can download a program completion letter through the UBC Official Documents Tool, accessible through Workday. Students on financial hold may not be able to access these letters and should contact Enrolment Services.


Request a program pending letter

If you haven’t completed your degree program yet, but need a letter that proves you are on-track to completion, fill out the program pending letter request form.


What to do if a course is full

There are a few ways to deal with full courses, and which one is applicable depends on the particular course and department.


Request Credit/D/Fail grading

Submit this form to request Credit/D/Fail grading in eligible registered courses outside of your program of study before the Add/Drop deadline.


Year-level promotion

In order to progress from one year-level standing to the next, you must successfully complete a sufficient total number of degree-eligible credits. Your academic record is reviewed automatically on a daily basis on Workday to determine your year level.

  • Advancement to second year requires 27 completed credits
  • Advancement to third year requires 54 completed credits
  • Advancement to fourth year requires 84 completed credits
